How to Make Time Managers Out of Yourself and Your Staff

Time management is very important both in our personal lives and in our work. We need to manage our time effectively in order to keep up with the things we need to accomplish and not leave something important behind.

However, time management can be difficult given the many interruptions and unnecessary habits that we often experience. These things reduce the productivity of our precious time, and in turn, goals are not accomplished by their deadlines, and other areas of our work and personal lives are affected.

In a working environment, time management is crucial for staff, especially when it comes to accomplishing work before a deadline. A lot of supervisors encounter staff members that are unable to finish their tasks by a given time because their time management is poor. It is therefore important for managers to coach their staff on how to properly manage their time in order to accomplish business goals, gain more customers, and increase revenue.

  • Here are a few helpful tips:
  • Group tasks based on how similar they are and assign them to staff members who are fully capable of accomplishing them. If tasks are grouped properly, then they are accomplished faster and in higher quality.
  • Practice proper organization in the work desk. One of the factors that prevents an employee from working faster and more effectively is a messy desk. Piles of paper on top of the desk will only keep his or her thoughts cluttered and make it difficult to focus well on the task at hand. Make your employees clean and organize their desks prior to working to establish a smooth transition of work and an inspiring environment to work in.
  • Control the use of phones, emails, and other less important devices. Staff members that spend a large portion of their time on the phone, on emails, or on other devices that are not essential for the task at hand end up wasting too much time. Establish rules about the usage of these items and implement them consistently.
  • Establish a one-step-at-a-time process. If your staff members are doing one task at a time, they will be able to accomplish what is needed on time. Too many tasks at once will reduce focus and causes stress, which ultimately makes it more difficult for them to do their job.
  • Set a plan. Create a plan for your staff to follow or encourage them to create a daily, weekly, or monthly plan for how they can work on their tasks. Also set deadlines for each, so they will stick to a plan.
  • Implement a 2-minute rule. Tell your staff to work on their tasks for two minutes and hand in what they accomplish. If they are not able to, discuss the hindrances as well as the ways in which the tasks can be accomplished.

Time management is a vital process for making sure that everything we need to do is done accordingly and efficiently. Take the time to coach your staff on proper time management and see a more productive team in the future.
